We take the privacy of your personal and clinical information seriously. This notice explains what we collect, why, and how we protect it.
1. Who we are
Gentle Dental Care ("we", "us") is the data controller for the personal information we hold about you. We are registered with the Information Commissioner's Office (ICO) and comply with the UK GDPR and Data Protection Act 2018.
2. Information we collect
Personal details (name, address, date of birth, contact details), medical and dental history, clinical notes, X-rays and intraoral images, correspondence, and payment details.
3. Why we collect it
To provide safe and appropriate dental care; to contact you about appointments; to process payments and finance applications; to comply with our legal and regulatory obligations (CQC, GDC, NHS, HMRC).
4. Lawful basis
We process clinical data under Article 9(2)(h) UK GDPR (provision of health care). Other processing relies on contract, legal obligation, or your consent.
5. Who we share it with
Only where necessary: laboratories producing your prosthetics, specialists you are referred to, the NHS Business Services Authority for NHS treatment, our secure clinical software providers, and regulators where required by law. We never sell your data.
6. How long we keep it
Adult clinical records are kept for at least 11 years after your last appointment. Children's records are kept until their 25th birthday, in line with NHS guidance.
7. Your rights
You have the right to access, correct, restrict, object to, or request erasure of your personal data (subject to clinical record-keeping requirements). To exercise any right, email gentledentalcareuk@gmail.com.

If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the ICO at ico.org.uk.
